Ensure a solid foundation for your Office 365 deployment with these essential setup tips
Microsoft has every incentive to ease your business into Office 365. Setup wizards, help videos, live telephone support — your transition to the cloud will be met with helping hands from the mothership all along the way. But the process isn’t necessarily foolproof. It’s still very possible to end up with an unsecured, minimally functional Office 365 environment even if you followed all of the helpful guides to the letter.
Also, it’s essential to remember that default settings are built for the lowest common denominator. They’re designed to get the average admin and the average user active in the system with the least amount of fuss. That doesn’t mean these settings are solid decisions, tailored to your optimal environment. They’re simply the easy ones.
And when have our jobs ever been about taking the easy route?
To ensure you have a solid foundation for your Office 365 deployment, you have to get the settings just right. If you want email to arrive safely to its destination free of malware or sensitive information, or your admin portal to be hardened against all but the most complex of tasks or your users’ mobile devices to be more of a productivity booster than a liability, you’ll have to go beyond Office 365’s defaults.
Here’s how to ensure your Office 365 environment is set up right.
When you first set up Office 365, you are prompted to configure your domains’ DNS to work with Office 365. Microsoft provides records for mail routing (MX), autodiscover (CNAME), and SPF (Sender Protection Framework). Failure to apply the correct settings here can mean complete loss of mail flow or lack of client connectivity.
List all authorized domains, including third-party services, as authoritative domains in Office 365’s Exchange admin center to ensure email delivery to all of your recipients.
SPF is a special consideration. This record type is used to inform other mail systems whether email from your domain is coming from an authorized system. The record provided by Microsoft is suitable if the only place your email will ever originate is Office 365. Often this is not the case, however, because you might use third-party tools such as Salesforce or MailChimp to send email on behalf of your domain or apps. In order to ensure delivery to your recipients, be sure to include any of these services in your SPF record. More information on SPF syntax can be found at The SPF Project.
Once you have full access to the Exchange admin center, you should verify that all of your domain names are listed and declared as authoritative (or of the appropriate relay type as necessary) under Mail Flow > Accepted Domains, as shown in the screenshot above.
Secure Mail Flow
You or your clients and vendors may require TLS encryption for email exchanges. Financial and health care providers will often be subject to government regulations that require this additional layer of protection. The default configuration provides opportunistic TLS encryption; in other words, Exchange Online will first try to connect to another mail system with TLS encryption and fail back to plain text if that doesn’t work.
If you require enforced TLS encryption, you will need to create two connectors: one for sending mail and one for receiving mail. To do so, open the Exchange admin center and navigate to Mail Flow > Connectors. Creating the sending connector is very straightforward. Click on the + (plus) sign and select “Sending from Office 365 to a partner organization.” Give the new connector a name and type an optional description. Finally, you will enter your partner organization’s domain name(s) and save the connector.
The connector for receiving mail is slightly more complicated but still rather straightforward. You begin as before by clicking the + sign. This time you will select sending from your partner organization to Office 365. You will then be prompted to specify whether you want to set this connector to apply to specific domain names or IP addresses. Choose whichever is appropriate for your scenario and enter the information on the next screen. Choose to reject any messages not sent using TLS encryption and optionally verify the TLS certificate. If you want to scope this domain to a specific IP range, you can do so here and save the connector.

Finally, you will want to ensure line-of-business applications, multifunction copiers, ticketing systems, and other applications and devices will be able to send through your new Office 365 account. There are three options available to you, and Microsoft has documented them all with step-by-step guides.
Now that all of your email and service settings are stored in the cloud, you must pay very close attention to your security settings. It takes only one lucky phishing attempt or social engineering call to give up the keys to the kingdom.
At a minimum, you should establish and use a separate account from your main mailbox as an administrator account and configure your other administrators in the same fashion. In addition, each administrator account should have an enforced minimum password length and expiration period (Service Settings > Passwords), and use multifactor authentication (Users > Active Users > Set multi-factor authentication requirements > Set up), and only the minimum set of permissions required to do the job through Role Based Access Control (RBAC) settings (Exchange admin center > Permissions > Admin roles).
Administrator accounts should be set with the bare minimum number of permissions required to do the job through RBAC.
The security of your mail is equally important. The built-in Exchange Online Protection offers basic forms of protection against spam and malware but doesn’t prevent address spoofing. You should spend some time evaluating third-party products to provide a solid email security foundation for your Office 365 environment.
You should also consider creating transport rules to match against common financial and personal data types. You can do this using Data Loss Prevention (DLP) templates that create transport rules you can tweak, or you can create transport rules directly using sensitive information types. To create a transport rule to block the sending of unencrypted credit card numbers and Social Security numbers, open the Exchange admin center and navigate to Mail Flow > Rules. Click on the + sign and choose “Generate an incident report when sensitive information is detected …” Choose the type of sensitive information you want to detect, select a recipient to notify and the information included in the notification, and (optionally) add an extra action to block the message with or without a Non-Delivery Receipt (NDR).
Mobile device settings
Most of your users will probably want to use their own mobile devices to access company email. This benefits the user in that they will only need to carry one device, and it benefits the company in that it doesn’t have to purchase and manage devices and contracts for its users. Those mobile devices, however, are now portable access points into your mail system or, if you use line-of-business applications or have a mobile VPN, your entire network.
If your users will be accessing Office 365 or email from their own devices, setting up Office 365 MDM is essential.
Once you have completed MDM setup, click on “Manage device security policies and access rules.” Click on the + sign to create a new policy, providing it with a name and optional description. There are a number of options available to you here. You can enforce PIN locking (or more complex passwords), sign-in failure counts, inactivity locks, device encryption, and preventing “rooted” or “jailbroken” devices from connecting.
You should at least configure a six-digit PIN, wipe after 10 tries, force data encryption, and disallow hacked devices. This should prevent the largest number of basic attacks against your devices without greatly inconveniencing your users.
Data and disaster recovery
It’s important to note that Office 365 does not back up your email. Microsoft offers native data protection, which includes multiple passive copies (lagged copies) split between two data centers. That is a fantastic solution for providing availability of existing data, but it doesn’t ensure a point-in-time recovery of data deleted that has gone past the deleted item retention period. In addition, that retention period is 14 days by default and can be extended to 30 days (you read that correctly: 30 days) through a remote PowerShell connection. You should be aware that your data can be lost.
Luckily there are ways to mitigate this. For starters, Microsoft recommends you put all mailboxes on legal hold. To do so requires a more expensive Office 365 plan (E3), which may make this solution prohibitive for some organizations. In addition, it’s not an interactive, read-only archive solution for your users, but it does ensure that all data is held and discoverable. It also doesn’t give you the ability to do a point-in-time restore, so it’s not a backup solution in the traditional or modern sense of the word.
Knowing these limitations may mean you need to look to a third-party backup/recovery solution for Office 365 or a solid online archive solution. You want to know your data is safe and discoverable (for compliance and more). This is another area, like security, where you may need to look to the Office 365 partner ecosystem to find the solution that bolts on and can resolve these concerns.
As you put together your optimal Office 365 environment, remember that the above settings recommendations are merely the basics. Consider them the absolute must-have settings to get you up and running. If your organization has a security operations center, you should consult with them about further improving your security. Compliance team? Check on adding more transport rules and setting up further data loss prevention.
But whatever you do, don’t settle for the default.

In time for the holiday shopping season, Microsoft has refined how Office 365 handles bulk promotional emails from vendors like Amazon, eBay and Macy’s.
Those messages, which contain special offers, newsletters and other sales incentives, fall into a gray area between legitimate email and obvious spam. Depending on a variety of factors, recipients sometimes find them useful and other times annoying.
Now, Microsoft has added what it describes as a “simple, intuitive control” to the Exchange Online Protection (EOP) security engine in Exchange Online so that Office 365 admins can fine-tune the treatment of these messages for their domain.
EOP rates bulk messages on a scale of 1 to 9. The lower the rating, the less likely the message will be considered a nuisance by recipients. Criteria used to rate messages include whether recipients signed up for the mailings, whether the sender offers unsubscribe options and how many complaints the emails have generated.
Office 365 sets its default threshold at 7, meaning EOP will deliver bulk messages rated 6 and lower, and throw those rated 7 and above into the spam basket. However, admins can adjust the threshold to a different number.
“Bulk email can be a real nuisance for users. We hope that this feature will help you better manage the amount of bulk email your organization receives and look forward to continually improving our anti-spam service to meet your needs,” wrote Microsoft officials Shobhit Sahay and Chris Nguyen in a blog post Monday.
Microsoft is starting to roll out the improved email management capability now. Admins that want it activated right away on their domains can place a request with Microsoft via their account team.

Office 365 seems to be catching on.
Despite a lot of confusion around how it works, it seems Microsoft’s SaaS version of the flagship Office suite has pretty quickly grown into a billion-dollar business. According to the most recent financials from Redmond, Office 365 is now on a billion dollar run rate and continuing to grow at a brisk pace.
For those who have been quick to throw dirt on Microsoft’s still warm body, Q3 showed the company exceeding $20 billion in revenue and $6 billion in profits. This at a time when everyone laments the drop in PC sales. Most companies would give away their CEO’s children to have those kinds of numbers.
Truth be told, $1 billion, in terms of the total revenue, suggests that Microsoft Office is not a major piece of the pie. The division that makes up Office did more than $6 billion this quarter alone, for instance. That being said, the billion-dollar mark is a watershed for this new way to consume Office, and shows Microsoft’s muscle in competing with other online productivity suites like Google Drive. From the briefings, it seems all of Microsoft’s cloud-based businesses, including the Azure Cloud, Xbox Live and Office 365, are doing pretty well.
Another factor that was discussed around the earnings is that many of the Office 365 seats are coming from large enterprise accounts. About 25% of enterprise customers are using at least some Office 365 seats. Also, many of the Office 365 seats are the higher-cost, premium versions, which translates to higher revenue and profit for Microsoft. This bodes well for Microsoft as more and more attention and revenue shifts to the cloud.
All in all, Office 365 has grown about 500% in just one year. Of course, maintaining that sort of growth rate over the course of the next couple of years will be difficult, if not impossible. But it is clear that Microsoft has used its cash cow productivity suite to give itself an anchor in the cloud/SaaS business landscape.
Microsoft has also made Office 365 more channel-friendly, allowing VARs and MSPs to bill customers directly via Office 365 portal. Putting Office 365 into the hands of Microsoft’s sizeable and powerful channel is a surefire way to increase its sales.
As I have written before, I use Office 365 for Home, which allows me to put it on five computers in the house. The only thing missing for me is if I could run it on Android tablets. But at $9.95 a month with 25GB of Skydrive and Skype minutes included, I think it is an excellent value.
Some of the initial confusion that held back earlier adoption of Office 365 is that many people didn’t realize that the applications are installed on the machine. You can access web-based versions of the apps on guest computers, but on your own computers there is little difference between the SaaS-based and traditional versions.
So maybe the old dog can learn new tricks. Good for Microsoft, if it has been able to adopt the new SaaS-based methods. Now, for their next trick, let’s see if they could only sell more Windows 8 phones and tablets.
For some reason, Microsoft has taken to calling the mini-programs that you can install into their Office applications “apps.” Functionally, though, most of these are similar to web browser add-ons — in the sense that they add to or enhance the feature set of the main program. Here are the most useful ones for the latest versions of Excel and Word.
Britannica Researcher for Word 2013
This official app provides access to the online version of Encyclopedia Britannica. With it, you can search through over 80,000 article entries in the Britannica library, and view their respective images. You can even insert these images, and citations and references, into your document.
Bubbles for Excel 2013
This app takes selected data in your spreadsheet and represents it in a chart as bubbles — the size and color of each is based on the number of times a certain value appears. Data from two tables can be “bubbled” so you can compare their differences with this whimsical model.
Gliffy Diagrams for Word 2013
If you don’t have Visio, here’s an alternative. This toolset lets you design flowcharts, mind maps, organizational charts, and other diagrams. Paid options are available offering extras like larger storage space in the cloud, and more shape libraries. But you can still use the app for free to create an unlimited number of graphics.
This app is exactly what its name implies — a chart graphic that displays what looks like a gauge. Imagine embedding a virtual tire pressure gauge into your spreadsheet to get a reading on whether sets of values are “too low” or “too high.”
A model that takes selected values in your spreadsheet that are based on location and generates a map showing their ranges for corresponding regions of it in various colors. The current version features a map of the United States.
Like Gliffy Diagrams, Lucidchart is another option for easily and quickly making flowcharts and other such process diagrams within Word 2013. It’s a free service that also offers paid plans where you get additional features that include larger online storage and more shape libraries.
Microsoft offers its own Bing-branded dictionary app for Office 2013, but an appealing alternative is by one of the respected names in the dictionary biz. With the official Merriam-Webster app installed, you can right-click on a word and choose “Define,” and a definition entry for it will appear in a panel to the right of the Excel 2013 or Word 2013 application window.
This app lets you embed a mini calendar into your spreadsheet that will make it easier for you or others to select a date to enter into the spreadsheet. The calendar can be customized to highlight specific dates, given different theme colors, or resized.
Another colorful chart generator by the author of Geographic Heat Map, this model takes your spreadsheet’s selected values and creates what is essentially a horizontal bar chart that is curved into a circular rainbow graphic.
TaskIt is a basic to-do list app that runs alongside Word 2013. Just enter into its textbox a simple description for a task you need to do, adding more one-by-one to build a list of them. Then click the checkmark box beside each task after you actually complete it.
Here’s a tool that could be helpful if you are going over math formulas in documents. You can select a mathematical expression in a document or manually enter one into this app’s textbox, and its answer/resulting value will be shown.
This app turns your text document into a tech-marketing and typography cliche: a “word cloud” where certain words that the app determines are most significant are displayed larger than others. Supposedly, if you put your document online, these words are latched onto the most by search engines and used as keywords.

Mike Sapien, a principal analyst with Ovum, says the news makes a lot of sense for AT&T. “It’s a big play to have a really popular packaged app they can deliver to the SMB market,” he says. “They’re really putting something out there that businesses actually need.”
Buying a cloud-based version of Microsoft Office from a vendor like AT&T has a number of potential advantages for users, Sapien points out. A cloud model frees users from having to dedicate on-premise resources to hosting the application, while allowing the programs to be accessed across a range of devices, including mobile platforms on the AT&T network.

Computerworld – Microsoft will announce an upgrade program for its next Office suite in five weeks, according to a report by ZDNet blogger Mary Jo Foley.
The program will offer free or discounted upgrades to Office 2013 — the name of the new bundle — or Office 365, the subscription service that Microsoft unveiled this summer, to customers who have recently purchased Office 2010.

If her contacts have the date right and Microsoft uses the same timetable as during the Office 2010 cycle, it means that Office 2013 will launch in the last week of January 2013.
That fits with previous back-of-the-envelope estimates that Computerworld has done. Based on the release of a “Customer Preview” of Office 2013 and Office 365, Computerworld had forecast a retail launch during the last week of January or the first week of February 2013.
Assuming Microsoft runs the new upgrade deal as long as it did the one for Office 2010, it wouldn’t shut it down until the middle of May 2013.
Two years ago, Microsoft gave Office 2007 buyers a free copy of the corresponding edition of Office 2010. That’s not guaranteed this year.
As Foley pointed out, Microsoft abandoned the free upgrade for Windows this time, choosing instead to charge customers $14.99 for the move from any edition of Windows 7 to Windows 8 Pro.
